What the two forms collect

Contact form data

The contact form collects a name, an email address, an optional telephone number, the service selected and the learner level, and optionally the learner’s grade, next test date and school or curriculum, together with the message written. Nothing else is collected by the form, and there is no hidden field.

The form is meant for parents, guardians and adult learners; a learner under 13 should ask a parent or guardian to write instead. Do not send student ID numbers, report cards, medical or special-education records through this form. School documents are shared through the process Quillfield sets out in its reply.

Subscribe form data

The subscribe form at the foot of every page except the not-found page collects one email address, and the address of the page the form was sent from. No name and no other detail is requested.

Why Quillfield collects it

Contact form data is used to answer the enquiry and, where lessons follow, to match a tutor and keep a record of what was agreed. Subscribe data is used only to send the term notes described beside the form.

Neither set of data is sold, rented or used to build a profile, and neither is used for advertising.

Who receives it

Messages reach the four tutors who work at Quillfield Tutoring. Delivery depends on an email provider and a form-handling service, which process the message in order to deliver it and act only on Quillfield’s instruction.

The names of those processors are published in the launch checklist for this website and are confirmed on request.

How long it is kept

An enquiry that does not lead to lessons is kept for twelve months and then deleted. Where lessons follow, the record and the lesson notes are kept while the learner is taught and for two years after the last lesson, and then deleted.

A subscriber address is kept until the subscriber asks for it to be removed, or until the notes stop being sent.

The security limitation

Traffic to this website is encrypted in transit, and access to messages is limited to the four tutors named on the Staff page. No website form is secure enough for student ID numbers, medical records or school documents, and this one is not.

That is a limitation of the medium, not a temporary state, which is why the form asks visitors not to send that material.

Visitor choices

A visitor may write by email instead of using the form. Every subscribe email carries an unsubscribe link, and unsubscribing takes effect on the next send.

This website sets no advertising cookie and runs no third-party analytics script.

Asking for deletion

A parent, guardian or adult learner can ask for deletion by email. Quillfield confirms in writing what was deleted and what, if anything, it must keep, such as the record of an unpaid invoice.

A request is answered within thirty days.
